Practice Policies

We encourage all clients to review the following policies before their first visit. At BodyCraft Massage Therapy, we prioritize professional boundaries, transparent communication, and evidence-informed care. If you have questions about anything listed here, don’t hesitate to reach out before your appointment.

We take our responsibility to provide a safe environment for our clients and practitioners very seriously. We sanitize all contact surfaces, equipment used, and tools with hospital-grade germicide after each appointment.

We request all persons clean their hands upon arrival. Hand sanitizer available in the waiting area and treatment room, and clients are welcome to use the treatment room sink to wash their hands.

Cancel your appointment if you are feeling unwell, have symptoms of illness or infection. See Illness and Infection below.

Scent

We are a FRAGRANCE-FREE practice. Do not wear perfume, cologne, essential oils, or scented body products to your appointment.  If you arrive wearing scent (including but not limited to essential oils, perfume, cologne, and/or perfumed body products) your appointment will be canceled on the spot and a $125 late-cancellation fee will be charged to the credit card on file.

Minors

Clients under the age of 18 must be accompanied by a parent or legal guardian throughout the entire session. We ask the parent or legal guardian to refrain from making phone calls or engaging in noise-creating or distracting activities during the session.

Reserving/Booking

A valid credit card is required on file to reserve/book appointments.  We accept Visa, MasterCard, and American Express.

Payment

Payment is expected at the end of each appointment and may be made by cash or using the credit card on file. For cash payment, bring exact change.

Appointments

All sessions are 60 minutes and begin at the scheduled time. Each appointment includes verbal check-in, hands-on treatment, and any recommendations your practitioner feels may support your healing. To help us stay on schedule for all clients, please arrive on time and plan to exit promptly once your session concludes.

Initial Appointments are required for new clients and for returning clients who have not been seen in six months or more, allowing time for intake, clinical review, and thoughtful treatment planning. This process ensures our practitioners are up to date on relevant health history, current symptoms, medications, surgeries, and other changes that may affect care, and allows appropriate questions to be asked in the interest of safety and clarity.

Returning clients who have not been seen in six months or more will be scheduled at the Initial Appointment rate, regardless of prior treatment history with Body Craft Massage Therapy.

Treatments are by appointment only; Body Craft Massage Therapy does not offer walk-in services.

Late arrivals

Late arrivals, up to 30 minutes, will receive only the remainder of scheduled session time and charged the full appointment fee.

Late arrivals, more than 30 minutes, will be considered a missed appointment (“no-show”), and charged the full appointment fee.* The practitioner will not be required to provide service for the remainder of appointment time.

If you are experiencing travel delays, please reach out to us via text message as soon as possible with your anticipated arrival time so your practitioner can be notified.

Cancellations and Missed Appointments

We reserve your appointment time specifically for you. To maintain continuity of care and clinic operations, we require at least 24 hours’ notice to cancel or reschedule.

  • Appointments canceled with less than 24 hours’ notice are billed at $125.

  • Appointments canceled on the same day as the scheduled session are billed the full treatment fee.

  • Missed appointments (i.e., “no-shows”) are billed the full treatment fee.

Late cancellations cannot be made online through the scheduling calendar (i.e., the client portal). To cancel within 24 hours, we can be reached at:
• Email: contact@bodycraftmassage.info
• Phone/Text: 917-740-4935

The card on file will be charged for late cancellations, same-day cancellations, and missed appointments. This policy helps us preserve the integrity of our schedule and respects the time reserved for your treatment.

Illness and infection

Do not come to the clinic if you are experiencing a communicable illness, such as a cold, flu, respiratory infection, COVID-19, or shingles.

Clients arriving with fever, respiratory symptoms, cold- or flu-like illness, or any signs of active infection will have their appointment canceled upon arrival and will be charged the full appointment fee.

We do not provide massage therapy to clients with active infections, including cellulitis. Clients must wait until their infection has fully resolved, meaning they have completed a full course of prescribed antibiotics (when indicated) and are no longer experiencing symptoms.

We are unable to provide treatment if you have an undiagnosed or medically unexplained skin condition or a rapidly changing rash that has not been evaluated by a medical provider, as it may not be possible to determine whether the condition is infectious or safe to treat.

This does not apply to known, non-contagious skin conditions (such as eczema or psoriasis), or to skin changes associated with lymphedema or oncology care, including lymphatic leakage or telangiectasia, when these are known, medically managed conditions. In such cases, treatment may be modified and appropriate precautions (such as gloving or avoiding affected areas) may be used at the practitioner’s clinical discretion.

If you are unsure whether it is appropriate to attend your appointment, please contact us in advance so we can help determine next steps.

Billing for Cancellations, Late Arrivals, and Illness

Fees for late cancellations, same-day cancellations, missed appointments (“no-shows”), and appointments canceled upon arrival due to illness will be charged to the card on file in accordance with our practice policies.
